We are delighted that you've joined the Division of Experimental Medicine and look forward to working with you! Now that you are ready to start, there are trainings and other key pieces of information that need your attention. Below you will find information that is applicable to all new employees in the Division and your Lab Manager will notify you of lab specific information. If you have any questions, please reach out to Vanessa York, Meredith Lew Tan, or your Lab Manager.

General Information

The Division will hold a New Employee Orientation within a few weeks of your start date. In the meantime, there are several key pieces of information that you will find helpful in getting started.

Time Card Submission

UCSF requires all employees to submit a time card through the Huntington Business Systems time keeping system (referred to as "HBS)  accessible through MyAccess. There are several aspects of HBS that you will utilize to enter or edit time worked and request vacation. You can view job aids on the UCSF Payroll HBS Processing Center homepage that includes information on the following:

  • Logging into HBS
  • Navigation Using the HBS Tabs and Links
  • Determining Employee Pay Frequency
  • Submitting Timesheets Without Leave or Changes to Hours
  • Entering and Editing Biweekly Timesheets
  • Requesting, Reporting, and Changing Leave
  • Working with Closed (History) Timesheets
  • Timesheet Notifications, Errors, and Warning Codes

It may take a few days after your first day for HBS to be active with your information. If your run into access issues, contact Fonda Smith.

Initial UC Trainings

You will receive automated emails from the UC Learning Center when your new employee trainings have been assigned, which will include (but noted limited to):

  • COVID-19 Prevention
  • General Compliance Briefing: University of California Ethical Values and Conduct
  • UC Cyber Security Awareness Fundamentals
  • UC Sexual Violence and Sexual Harassment Prevention Training for Non-Supervisory Staff
  • UCSF Foundations of Diversity, Equity and Inclusion

The due dates vary for each training - please revisit these requirements to ensure they are complete on time.

Server Access to Lab Folders

During your first week access to your lab server folder will be requested by the DEM Administrative Officer. You will receive a notification from UCSF IT with access instructions once your access is set-up.

Parking at ZSFG

Street Parking

You can find unmetered street parking in the Potrero Hill neighborhood, which is located across the 101 – accessible via a foot bridge from behind Building 3.

San Bruno Lot

There is parking available offsite (about 1 mile from campus and accessible via a shuttle) at the San Bruno Lot. Monthly permits are available for staff to purchase, which allows parking during the hours of 6 a.m. to 8 p.m., Monday through Friday. These monthly permits cost 20% less than the 24-hour permits at the ZSFG garage. Free shuttle service between the lot and ZSFG is available during peak hours every 20 minutes, and a UCSF shuttle runs during afternoon non-peak hours (9:30 a.m. – 3:30 p.m.). Microsoft Office 365

UCSF utilizes Microsoft Office 365, which gives you access Microsoft Word, Excel, PowerPoint, OneNote, OneDrive, Teams and Outlook from any device, anywhere. UCSF's Office 365 tenant is HIPAA-compliant and all files containing PHI are encrypted.

Log in to Office 365 at office.ucsf.eduUse Google Chrome for the best experience. 

Teams, OneDrive and OneNote are being pushed to UCSF-supported computers. To install Office 365 desktop applications on your personal computer please follow these instructions.

Lab Information

The Division is comprised of all basic science wet labs and share many common onboarding activities. Below are activities and trainings you should complete with the guidance of your Lab Manager. Additionally, your lab may require other trainings based on the type of research activities.
