We are delighted that you've joined the Division of Hospital Medicine and look forward to working with you! Now that you are ready to start, there are trainings and other key pieces of information that need your attention. Below you will find information that is applicable to all new employees in the Division and your supervisor will notify you of service specific information. If you have any questions, please reach out to Jim Nix or Justin Vang-Moore.

General Information

There are several key pieces of information that you will find helpful in getting started.

UCSF Email Setup

Your UCSF email will be set-up up to three days prior to your first day. UCSF IT will send you your email and network credentials to your personal email once your account is set-up in the UCSF system. Once you have your confirmation email, you will contact UCSF IT at 415-514-4100 to set your password.

Once you have access to your UCSF email, please update your signature to reflect your information. This will help when corresponding with colleagues and collaborators. Click here for your UCSF signature template. Click here for instructions on how to set up your signature in Outlook.

UCSF Intranet

All employees and affiliates of UCSF have access to an Intranet known as "MyAccess" and is accessible at myaccess.ucsf.edu. UCSF’s single-sign on (SSO) service, enables users to access a variety of applications after logging in just once. Your username and password will be set-up at the same time your UCSF email is activated. This information will be sent to you from UCSF IT.

Once you have access, you can customize the "apps" in your MyAccess platform by setting your favorites.

UCPath Set-up (Benefits Selection, Direct Deposit)

After you receive your UCSF Benefits Orientation information, link to the webinar included in the welcome email from UCSF on your first day, you will be able to set-up your UCPath account. In UCPath, you will be able to set-up direct deposit and select your benefits. You can log-in to UCPath by clicking on the link in MyAccess.

Time Card Submission

UCSF requires all employees to submit a time card through the Huntington Business Systems time keeping system (referred to as "HBS)  accessible through MyAccess. There are several aspects of HBS that you will utilize to enter or edit time worked and request vacation. You can view job aids on the UCSF Payroll HBS Processing Center homepage that includes information on the following:

  • Logging into HBS
  • Navigation Using the HBS Tabs and Links
  • Determining Employee Pay Frequency
  • Submitting Timesheets Without Leave or Changes to Hours
  • Entering and Editing Biweekly Timesheets
  • Requesting, Reporting, and Changing Leave
  • Working with Closed (History) Timesheets
  • Timesheet Notifications, Errors, and Warning Codes

It may take a few days after your first day for HBS to be active with your information. If your run into access issues, contact Justin Vang-Moore.

Initial UC Trainings

You will receive automated emails from the UC Learning Center when your new employee trainings have been assigned, which will include (but noted limited to):

  • COVID-19 Prevention
  • General Compliance Briefing: University of California Ethical Values and Conduct
  • UC Cyber Security Awareness Fundamentals
  • UC Sexual Violence and Sexual Harassment Prevention Training for Non-Supervisory Staff

The due dates vary for each training - please revisit these requirements to ensure they are complete on time.
